Camp Sync ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you use the Camp Sync mobile application and website (collectively, the "Service").

This policy applies to all users of the Service. By using Camp Sync, you consent to the practices described in this Policy. If you do not agree, please discontinue use and delete your account.

If you sign in with Google or Apple, we receive basic profile information (name, email) from those providers in accordance with the scopes you authorize. We do not receive your passwords from these providers.

3. How We Use Your Information

We use the information we collect to:

• Create and maintain your account and authenticate your identity
• Provide, operate, and improve the Service
• Enable camp schedule management, sharing, and collaboration features
• Process and enforce subscription entitlements (Camp Sync Pro)
• Respond to your support requests and communications
• Send service-related notifications (e.g., account updates, policy changes)
• Monitor and enforce usage limits and our Terms of Use
• Detect, investigate, and prevent fraud or abuse
• Comply with applicable legal obligations

We do not use your personal data to serve targeted advertisements, and we do not sell your data to third parties.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share your data only in the following circumstances:

With Your Consent

When you use per-camp privacy sharing controls, you choose which schedule information to share with connected friends and family. You control this sharing within the app.

Service Providers

We work with trusted third-party companies that help us operate the Service (e.g., cloud hosting). These providers only process your data on our behalf and are contractually prohibited from using it for their own purposes.

Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Camp Sync, our users, or the public.

Business Transfers

If Camp Sync is acquired, merged, or its assets transferred, your information may be transferred as part of that transaction. We will notify you via email or in-app notice before your data is transferred and becomes subject to a different privacy policy.

6. AI Features & Data

When you use the AI assistant in Camp Sync, your text queries and relevant schedule context are transmitted to Groq's API (powered by Llama 3) to generate responses. Please be aware:

• Queries are sent to Groq's servers and processed under their privacy policy
• We track the number of AI interactions per user account to enforce free-tier limits
• We do not store the full text of your AI conversations after the session ends
• Do not share sensitive personal information (such as Social Security numbers, financial account details, or passwords) through the AI assistant

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Specifically:

• Account data: Retained until you delete your account
• Schedule & camp data: Retained until you delete the specific data or your account
• After account deletion: Personal data is permanently deleted within 30 days, except where retention is required by law

Backups may retain your data for up to an additional 90 days following deletion before being fully purged from all systems.

8. Security

We take reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. These include:

• Data encrypted in transit using TLS/HTTPS
• Firebase security rules restricting data access to authenticated, authorized users only
• Passwords hashed and never stored in plain text
• Regular review of access controls and security practices

However, no method of transmission over the internet is 100% secure. If we become aware of a data breach that affects your personal information, we will notify you as required by applicable law.

9. Children's Privacy

Camp Sync is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child under 13 has created an account, please contact us immediately and we will promptly delete the account and all associated data.

Users between 13 and 17 should have a parent or guardian review these policies.

10. Your Rights & Choices

Access & Portability

You may request a copy of the personal information we hold about you by contacting us at the email below.

Correction

You may update your account information directly within the app (Settings → Profile), or contact us to correct inaccurate data.

Deletion

You may delete your account and all associated personal data at any time from within the app: Settings → Account → Delete Account. You may also request deletion by contacting us directly.

Opt-Out of Communications

You may opt out of non-essential communications by updating your notification preferences in app settings or by following the unsubscribe link in any emails we send.

11. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

• Right to Know: You may request information about the categories and specific pieces of personal information we have collected about you.
• Right to Delete: You may request that we delete your personal information, subject to certain exceptions.
• Right to Correct: You may request that we correct inaccurate personal information.
• Right to Opt-Out: We do not sell or share your personal information for cross-context behavioral advertising.
• Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.

12. International Users

Camp Sync is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.

For users in the European Economic Area (EEA) or United Kingdom, we process your data based on: your consent (where applicable), the performance of our contract with you, our legitimate interests in operating the Service, and compliance with legal obligations. EEA/UK users may have additional rights under GDPR, including the right to lodge a complaint with your local supervisory authority.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page and notify you through the app or by email for significant changes.

Your continued use of the Service after changes take effect constitutes your acceptance of the updated Privacy Policy.
